BIID Event Terms and Conditions

PLEASE READ THESE TERMS AND CONDITIONS CAREFULLY BEFORE USE. YOUR ATTENTION IS PARTICULARLY DRAWN TO THE PROVISIONS OF CLAUSE 5 (OUR LIABILITY)

These BIID Event Terms and Conditions sit under and incorporate our general terms of use which you can access here. In the event of any conflict or inconsistency between our general terms of use and these event terms, our general terms of use shall prevail.

We offer a number of live events (“Events”), both online and “in-person”, to all members (whatever type of membership), non-members and our corporate supporters. The Events may include professional or student training events, organised tours, tradeshows, workshops, seminar/ lectures and networking events and our selection of available Events is expanding. If you would like to participate in an Event please ensure you read these terms set out below before booking.

If you have any comments or feedback on an Event you have attended, or have any suggestions for future Events, please let us know by email to info@BIID.org.uk.

1. BOOKING AN EVENT

Our Events are ticketed events which may be managed via a third party platform. Please note when you provide personal data to a third party platform, it will be processed subject to their Privacy Notice. Some third party platforms may store your personal data on servers in the US. Some Events will be managed by us directly and your personal data will be processed in accordance with our Privacy Policy.

Some of our Events are free, others require you to buy a ticket. Where ticketing and payments are managed by a third party platform, their  terms and conditions will apply to your booking.

If you wish to cancel your booking to an Event, please send a cancellation and refund (if a paid Event) request via the relevant third party platform or to info@BIID.org.uk if you have booked directly.  Please send the cancellation request as soon as possible so that your ticket may be reallocated. A full refund will be issued if your refund request is received at least 10 working days prior to the day of the Event, however the full delegate fee will be forfeited for non-attendance (for any reason) if you do not give 10 or more working days’ notice to cancel your booking.

A replacement delegate nominated and confirmed by you is permitted, providing that you notify us in writing to info@BIID.org.uk prior to the Event.

We reserve the right to make changes to the programme of any Event. We reserve the right (in our sole discretion) to cancel the Event if unavoidable circumstances arise. In this case, any ticket prices paid for the cancelled Event will be reimbursed.

2. YOUR PERSONAL DATA

In compliance with data protection regulations, please note that the information you provide us during the process of making your booking will be stored in accordance with our Privacy Policy.

In accordance with our Privacy Policy, your name may be shared with the Event venue, in order for you to be allowed to access the venue. We will ensure your personal data is protected by written agreement between us and the venue.

3. THE EVENT

The Event will be hosted by us (whether online or in-person) and at in-person Events, there will be a BIID representative onsite.

For in-person Events, the venues are either hired by us for the purposes of the Event or take place on our premises. Access is by ticket only and the guest list is managed by us and we will register attendees on arrival.

Events are ticketed to manage the number of attendees and (for in-person events) in conjunction with any restrictions in place at the venue. Access shall be denied to individuals without a ticket.

4. IN-PERSON EVENTS

If you are attending an in-person Event, you agree to:

  • abide by the health and safety regulations in place at the Event venue;
  • follow all instructions in the event of an emergency incident or evacuation;
  • behave in an appropriate manner and promptly leave the venue if you are asked to do so or refused entry by us or venue staff;
  • only use and access the venue for the purposes of attending the Event;
  • not to do anything at the venue which is illegal or which may be or become a nuisance (whether actionable or not), annoyance, inconvenience or disturbance to any other attendees, us, or any third party;
  • to comply with our general terms of use and these Event terms and any other notices or instructions given by us or the venue staff from time to time;
  • permit venue staff to carry out necessary security checks, including bag searches; and
  • not cause or permit to be caused any damage to the venue.

We reserve the right to refuse entry to anyone who, in our reasonable opinion, is intoxicated, anti-social or a security threat.

Any damage caused to the venue or any person or property by an attendee at an Event will be the sole liability of the attendee to repair, replace or make good such damage. While we hold Professional and Public Indemnity insurance for Events, it cannot be relied on by individual attendees causing damage or nuisance to third parties or venues not owned by us.

5. AWARD CEREMONIES 

Notwithstanding any other provision of our general terms and conditions or these Event Terms, this clause 5 shall apply to any Event which is referred to as an ‘Award Ceremony’ at the time of booking. 

Tickets to an Award Ceremony cannot be cancelled after booking. A replacement delegate who is nominated and confirmed by you is permitted (subject to the Event Terms and any applicable third party’s ticketing terms), provided that you notify us in writing to info@BIID.org.uk at least five working days prior to the Award Ceremony. The full delegate fee will be forfeited for non-attendance for any reason.  

If, due to circumstances beyond our reasonable control, it is not possible for the Award Ceremony to take place in person, we will hold the Award Ceremony online. If this happens, we will refund you 50% of the price paid for the ticket to the Award Ceremony to cover the costs and expenses incurred by us. We will notify you if this happens as soon as reasonably possible.  

6. OUR LIABILITY

References to liability in this Clause 5 include every kind of liability arising under or in connection with this agreement including but not limited to liability in contract, tort (including negligence), misrepresentation, restitution or otherwise. Nothing in these terms excludes or restricts our liability where it would be unlawful to do so. This includes liability for fraud or fraudulent misrepresentation and for death or personal injury resulting from negligence.

To the extent possible in law, our total liability to you (and any attendee at an Event) shall not exceed an amount equal to the ticket price paid (and if no price has been paid for the ticket then we excludes all liability).

Whether the Event is online or in-person, we exclude all liability for the content of the Event, whether it be a training event or any other Event. We invite a variety of speakers to present or facilitate Events, and the content of the Event, the speaker’s opinion or advice or other information expressed (whether it be an expert opinion or not) is the sole responsibility of the speaker and do not necessarily represent our views. We cannot accept any liability for any damage of any kind (whether it is physical, direct, indirect, consequential, emotional or criminal) caused by speakers at any Event. 7. WHICH COUNTRY'S LAWS APPLY TO ANY DISPUTES?

The terms, their subject matter and their formation (and any non-contractual disputes or claims) are governed by English law. We both agree to the exclusive jurisdiction of the English courts, except if you are a consumer and are resident in another territory and are protected or obliged by your national laws or regulations in some way.
